1. Overview
This Refund Policy explains when BenefitsInteractive ("we," "us," or "our") may refund fees paid for the BenefitsInteractive platform and related commercial services (the "Services"). It supplements Section 7 of our Terms of Use. If there is a conflict between this Policy and a signed order form or subscription agreement for your account, that signed agreement controls for the fees it covers.
2. Scope of This Policy
This Policy applies to:
- Subscription and professional fees billed under your order form or subscription agreement
- Commercial invoices issued through our billing tools
- Optional online payments of sent commercial invoices through our payment processor (when enabled for your account)
This Policy does not apply to:
- Third-party products or services you purchase separately from carriers, vendors, or other providers
- Taxes, bank fees, or processor fees charged by your financial institution or payment method issuer, except where we are required by law to refund an amount we received
- Free trials, complimentary access, or promotional credits that were not paid for
3. General Rule
Fees for the Services are generally non-refundable, including prepaid subscription periods, unless:
- This Policy expressly provides otherwise
- Your signed agreement expressly provides otherwise
- A refund is required by applicable law
BenefitsInteractive is a B2B subscription platform. We do not operate a public self-serve consumer checkout for platform signup by default. Commercial billing is typically invoice- and contract-based.
4. Cancellation vs. Refunds
Cancelling your subscription stops future charges according to your agreement; it does not automatically entitle you to a refund for amounts already paid.
- Monthly subscriptions: Cancellation generally takes effect at the end of the current billing cycle. You retain access through the end of the paid period.
- Annual or multi-month prepaid terms: Unused portions are generally not refunded unless required by law or expressly agreed in writing.
- Termination for cause by us (for example, material Terms violations, unpaid invoices, or fraud): refunds are not owed except where required by law or your signed agreement.

5. When Refunds May Be Issued
We may issue a full or partial refund at our sole discretion, or as required, in cases such as:
- Billing errors or duplicate charges — for example, an invoice paid twice, an incorrect amount charged, or a payment applied to the wrong invoice after we verify the error
- Service-level commitments — where a written Service Level Agreement (SLA) or order form expressly provides a service-credit or refund remedy for qualifying outages, and you meet the claim requirements in that agreement
- Legal requirements — where applicable consumer protection or other law requires a refund
- Goodwill or commercial resolution — we may approve a discretionary refund or credit to resolve a billing dispute; approval in one case does not create an obligation in another
Unless your agreement says otherwise, approved refunds or credits are typically limited to the disputed fee period and do not include consequential damages, lost profits, or third-party costs.
6. Online Invoice Payments
Where optional online checkout is enabled for sent commercial invoices, authorized billing contacts may pay by card (or other methods we enable) through our payment processor. Paying online does not change the general non-refundable rule above.
- Refunds of processor payments, when approved, are issued through the same processor to the original payment method when possible
- Timing to appear on your statement depends on your card issuer or bank (often several business days after we initiate the refund)
- Chargebacks or payment disputes initiated with your bank should be coordinated with us first when feasible so we can investigate billing errors quickly
7. How to Request a Refund
Submit refund requests in writing to support@benefitsinteractive.app (or your designated BenefitsInteractive account contact) within thirty (30) days of the charge or invoice payment in question, unless a longer period is required by law or your signed agreement.
Please include:
- Organization / group name and billing contact name
- Invoice number, payment date, and amount
- Payment method used (invoice/ACH, card checkout, or other)
- A brief description of the issue and the refund or credit you are requesting
We may request additional documentation to verify the payment and your authority to request a refund on behalf of the paying organization.
8. Timing and Method
After we approve a refund, we will process it using a commercially reasonable method—typically the original payment rail (processor refund, ACH return/credit, or check/wire as applicable). We aim to initiate approved refunds within a reasonable period after verification; bank posting times are outside our control.
In some cases we may issue a service credit toward future invoices instead of a cash refund, if you agree or if your agreement allows.
9. Relationship to Other Agreements
This Policy is part of our customer-facing legal surface and should be read with our Terms of Use and Privacy Policy. We may update this Policy by posting a revised version with a new "Last Updated" date. Material changes will not retroactively reduce refund rights already vested under a prior version for a charge made while that version was in effect, except as permitted by law or your signed agreement.
